Terms and Conditions
This agreement (the “Contract”) is made by and between the Organization, (“Name“) and Tallgrass Golf Club (herein after referred to as the “Club”. WHEREAS the Organization desires to hold a golf event with clubhouse food and beverage support (together, the “Event”) on the date and times stated above using the facilities of the Club, and WHEREAS the Club desires to accommodate such Event in consideration of stated fees and charges; Therefore, the Organization and the Club agree to the Event under the following terms and conditions.
The organization agrees when advertising the event to the general public through any media, they must use the names, logos, and description approved by the Club when referring to the Club. The organization must receive written permission from the Club to alter the names, logos, and/or description.
The Organization will designate a person who is referred to in this agreement as the Tournament Coordinator who will have the authority to approve the detailed provisions of this agreement and who will serve as the Organization’s contact during this agreement.
All food, beverage tickets and tabs are subject to a 20% gratuity
Outside food or beverages will not be allowed without the expressed written permission of the General Manager and will be subject to a $5 per player fee for outside beverage and $5 per player for outside food.
Golf:
The Organization agrees to provide the Club with a list of players at least four days in advance of the Event. The list should include both last names & pairings.
Any person who plays in the tournament or who is in any manner affiliated with the Organization and participates in the Event in any way whatsoever, shall be referred to herein as a (“Participant”).
The Organization understands and agrees that the Club shall have the right to eject any Participant with no refunds who, in the sole judgment of the Club, fails to cooperate with the rules of the Club and those covered in this Contract.
The organization understands and agrees that all players shall wear only soft spikes on golf shoes.
The Organization understands and agrees that the Club has a minimum (72) and maximum (144) number of participants for golf events. If the organization would desire to request an exception to this requirement, it must be included in the additional terms and conditions of this agreement. The Organization agrees to the Club’s limit of four players per tee group, unless otherwise approved by the Club.
The Organization agrees that all players shall ride carts provided by the Club, unless an exception for members is made in advance. The Organization takes full responsibility for any damage to or caused by carts operated by Participants. Therefore, the Organization takes full responsibility for all Participants knowing how to safely operate carts. The Organization agrees to ensure that all Participants who operate a cart shall be 16 years old or older and licensed to drive a motor vehicle. Also, the Organization agrees to ensure that guests, volunteers, children, visitors, or others are NOT permitted to operate or ride on carts unless approved by golf staff.
The Club shall provide a cart for all the organization participants (2 golfers per cart).
The Club shall have the right of first refusal to supply all pro shop merchandise purchased for the Event, including all prizes and tee packages.
The Organization will ensure that Participants abide by the Club’s dress code. Such code includes, but is not limited to, no T-shirts, tank tops, sweat suits, bathing suits, halter tops, tennis shorts, short-shorts, OR DENIM of any color or style.
The Organization agrees that players will not enter private property to retrieve out-of-bounds balls and will notify all players that white Out-Of-Bounds markers also mark private property boundaries.
The Organization agrees to accept financial responsibility for any damage to residential property, such as windows broken by golf balls during the tournament.
