Event Details: All reservations, room set-up, and catering arrangements should be made at least 30 business days prior to event. TASM provides tables & chairs Black tablecloths are provided for food events. Events extending beyond the contracted time period may be charged additional fees. Client(s) are responsible for damaged or destroyed property. Deposit/Payments: A deposit of one-half of the proposal cost and return of a signed contract to TASM secures this reservation. The remaining balance of the facility rental is due one month prior to the event. TASM accepts cash, cashier's checks, personal checks, Visa, Discover, and Mastercard as forms of payment. If an event lasts past the contracted time, additional charges will be due. If the event is closer than 4 weeks, all rental charges are due in full at the time the contract is signed. Please make checks payable to Tulsa Air and Space Museum Regulations: The use and/or consumption of illegal drugs, weapons, or firearms on TASM property is prohibited. Any individuals found to have any of these prohibited items will be subject to arrest and criminal prosecution. TASM is not responsible for lost or stolen items. Early access to facility rental rooms will be allowed with discretion based upon availability. Only certified service animals are permitted on the TASM campus. No child care facilities are available at TASM. If an event is appropriate for children to attend, they must remain under the care and supervision of their parent or accompanying adult. Decorations: The use of flame candles, fireworks, fog/smoke machines, and dry ice is prohibited. The use of scotch tape, thumbtacks, or nails on doors, walls, and pillars, including paintings and murals, is also prohibited. If electrical cords need to be taped down, please contact TASM staff. Do not hang decorations/props from any lighting or equipment fixtures without TASM approval and assistance. Moving furniture and fixtures is prohibited. Set up and cleaning fees are based on specific venue locations within the museum, with additional cleaning fees added if excessive cleaning is needed. All decorations will be discarded if they are not removed at the end of the event. Food Service: Meal services served at TASM must be ordered through a licensed caterer. All bartenders and alcoholic beverage services must be acquired through a licensed caterer with proof of insurance and liquor licenses provided to TASM two weeks in advance. Catering service providers must be approved by TASM. Tobacco-Free Environment: TASM is a tobacco-free environment, prohibiting the use of all tobacco products anywhere inside and within 10 feet of a doorway. Licensing Clause: Clients must obtain proper licenses for all vendors and food & beverage services. Any client selling products at their event must acquire permission in advance from TASM. These documents must be provided to TASM two weeks prior to the scheduled event. Cancellations: Venue will work with client to reschedule for a new date within one year. Neither party shall be responsible for failure to perform this contract if circumstances beyond their control, including but not limited to, acts of God, weather, public health crisis, shortage of supplies to be furnished by TASM, or governmental authorities restricting services.
