Terms and Conditions
Booking Terms for Pavilion Event Space
1. Booking Deposit
A non-refundable deposit of 30% of the total booking cost is required to secure your date.
2. Payment Schedule
Full payment is due 30 days before the event date. Flexible payment plans are available upon request.
3. Cancellation Policy
Cancellations made more than 60 days prior to the event will result in a forfeiture of the deposit. Cancellations within 30 days of the event will incur an additional charge of 50% of the booking fee.
4. Rescheduling
Events may be rescheduled with at least 60 days’ notice, based on availability. A rescheduling fee of $200 may apply.
5. Damage Deposit
A refundable damage deposit of $500 is required and will be returned within 10 business days after the event, provided no damage occurs.
6. Venue Access
Venue access begins at 10:00 AM on the day of the event. Additional setup time may be arranged for $150/hour if required earlier.
7. Guest Capacity
Maximum guest capacity is 50 guests. Exceeding capacity may result in an additional charge of $50 per person or restriction of entry.
8. Catering and Beverage Policy
Outside catering is permitted with prior approval. Alcoholic beverages must be provided by the venue, including our private reserve wines and premium beer selection. A corkage fee of $20 per bottle applies for any outside wine.
9. Decor Guidelines
Decorations are welcome but must be approved by venue management. No nails, tacks, or permanent fixtures are allowed. A decor deposit of $150 may apply for events with extensive setups.
10. Noise Policy
Music and amplified sound must end by 10:00 PM to comply with local noise ordinances.
11. On-Site Accommodation
Lodging is available on-site for $200 per night per room. Reservations are required at least 30 days prior to the event date.
12. Weather Considerations
Pavilion is an open-air venue. In case of inclement weather, tents or coverings may be arranged for an additional fee of $500.
13. Event Planning Support
Our event coordinator is available to assist with planning. Full coordination services are available for an additional $500, including timeline management and vendor coordination.
14. Liability Waiver
All guests and hosts are required to sign a liability waiver, acknowledging safety and conduct policies.
15. Cleaning Policy
The venue must be returned to its original condition. A cleaning fee of $250 applies for events with over 30 guests or for certain setups.
