AGREEMENTS
The Silver Lake Forest Education Society (The Society) will grant a licence (will rent) to the Licencee (Rentee) to use and occupy the camp facility known as Silver Lake Forest Education Centre (SLFEC), and the use of Silver Lake waterfront and surrounding forest, under the following terms and conditions:
The following limited services are provided by SLFEC; the use of sleeping accommodations (beds and mattresses NOT bedding/linens); fuels for cooking, heating, and refrigeration; electricity (when available); and dock facilities only. Also includes use of canoes, paddleboards and archery equipment. Educational programs that feature forest ecology studies, outdoor skills, High and low ropes and water safety training are available upon request, at additional cost.
The rental rate for the SLFEC is as outlined in the section Financial Information above; GST / PST may be applied to rental rates, and will appear on the final invoice.
The term of the licence (rental) to use the SLFEC residential camp facility covers the period in the above section Booking Dates; any discrepancies in equipment or accommodations dates will default to the Booking Dates
Meal service is provided and agreed to by the Licensee (Rentee). Meal times- breakfast (08:30), lunch (12:00), dinner (16:30), and an optional evening snack (21:00). Modifications to times, subject to approval. Special diet modifications may be subject to a $3 per person charge, per day.
Please confirm the number of guests that are expected to be part of the group designated as the Licencee, your booking rate is based on the minimum expected guests detailed above in the Guests section. Final invoice will be determined by actual guest attended. The Licencee agrees to communicate with the Society no later than fifteen (15) days prior to the commencement of the rental term to confirm menus, special diets and allergies
6. Thirty (30) days prior to the commencement of the rental term noted in Paragraph (3) above, the number of persons attending must be confirmed and are considered to be a guaranteed number for meal planning. The guaranteed number of guests will also form the basis for the invoice submitted at the completion of the rental term, unless the numbers on site are higher.
7. The license (rental) fee is noted in the Financial Information section above and will be paid as follows:
a. A deposit equal to one-half of the total license (rental) fee, which is the amount noted in Paragraph (3) is due upon execution of this agreement.
b. The balance of the total license (rental) fee is due in the Society office not later than fifteen (15) days prior to the rental period.
c. A Security Deposit may be requested from all first time Licencee groups and any group that the Society deems in need of a deposit. The deposit amount shall be applied on account of all damage incurred by SLFEC as set out in this Agreement.
8. The Licensee (Rentee) assumes any and all risks associated with the use of SLFEC and acknowledges that the facility is accepted on an “as-is, where-is” basis, with no warranty expressed or implied by the Society with respect to the condition of the facility or the equipment included with the facility.
9. The Licencee (Rentee) is responsible for insuring adequate public liability insurance coverage is in place prior to commencing group activities at SLFEC and shall maintain liability insurance to a limit of liability of not less than $3,000,000 in any one occurrence, to cover any such damage, naming the Silver Lake Forest Education Society as an additional named insured during the term of this Agreement and shall provide proof of such coverage prior to commencement of the term. The Society agrees to provide SLFEC in a functional, safe, and clean condition at the commencement of the license (rental) term.
