Terms and Conditions
1. Event Details
Date & Time: Specific date, start, and end time for the event.
Type & Package: Include event style, packages, upgrades, add-ons, and total estimated bill with deposit confirmation.
Guest Count: Provide a guaranteed guest count 14 days (for events within 6 months) or 30 days (for events over 6 months) before the event.
Menu Selections: Submit menu choices along with guest count by deadlines.
2. Event Spaces
Payment: Full payment based on reserved areas is required as per agreement.
Floor Plan Review: Must review the floor plan with the Venue by 30 days prior.
3. Capacity & Safety
Max Capacity: Guest count cannot exceed agreed maximum capacity.
Safety Compliance: Venue has right to deny entry if capacity is exceeded; Client ensures safety protocols.
4. Guest Conduct
Behavior: Abusive or unwelcoming behavior toward staff is prohibited.
Guest Removal: Venue may remove guests for inappropriate conduct.
5. Rental Fee & Payments
Rental Fee: Agreed amount plus taxes and fees.
Deposit: 25% deposit, second 25% due 60 days before, final 50% due 14 days before the event.
Event Changes: Notify Venue 30 days prior for event changes; late changes incur costs.
Security Deposit: Refundable deposit for damages.
6. Cancellation Policy
Client Cancellation: 25% refund if canceled 60+ days in advance; no refund within 30 days.
Venue Cancellation: Full refund if Venue cancels; alternative dates or refunds for unforeseen cancellations.
7. Venue Responsibilities
Access & Utilities: Venue access on event day with essential utilities and AV needs.
Cleanliness: Venue will provide a clean space for the event.
8. Client Responsibilities
Damages: Client covers repair costs for any damages.
Insurance: Client must provide event liability insurance 30 days prior.
Capacity: Client agrees to abide by capacity limits and confirm attendance.
9. Miscellaneous
Entire Agreement: This document is the comprehensive agreement.
Amendments: Changes must be in writing and signed by both parties.
