Terms and Conditions
Deposits
All events require a signed contract, rental agreement and non-refundable deposit; $300 minimum deposit is due in order to book.
Confirmation/Guarantees
Menu selection and a guaranteed guest count must be confirmed 14 days prior to your event. This guarantee is considered your minimum for which you will be charged even if fewer guests attend. In the event that we do not receive your guarantee, we will use the number of guests expected, as noted on the contract. In an effort to accommodate last minute changes, we will be prepared for 5% above the guaranteed guest count. Any changes and cancellations must be made directly with the Hampshire Hills Event Center staff.
Gratuity & Administration Fees
A 17% gratuity will be added to all Food and Beverage charges. This will be paid directly to the staff members who are assigned to your event. A 5% admin fee will be added to the total amount due. The admin charge covers administrative costs including arrangement for your event via your Event Center sales manager and banquet captain team.
Cancellations
All food, beverage and function room/space canceled within 14 days of the function will be charged the full amount of the bill, unless other arrangements have been made. If Hampshire Hills is unable to host your event due to an order by the Federal Government or State of New Hampshire that restricts gatherings due to a virus or pandemic in a way that directly impacts your event, all deposits will be returned to you.
Payment/Billing
The total balance is due 7 days before the event by cash, check or credit card.
Equipment
Hampshire Hills has standard supplies and basic equipment. If your requirements extend beyond what we can supply, with your approval, Hampshire Hills will rent any necessary equipment and charge you accordingly, including service, pick-up and delivery charges.
Facilities
We appreciate your adherence to times agreed upon for your function. If your schedule changes, please contact the Hampshire Hills Event Center staff and we will make every effort to accommodate you.
General Policies
All food and beverages must be purchased through our facilities (unless cake or cupcakes from a licensed vendor)- *Absolutely no alcoholic beverages may be brought into the facility.* Due to licensing restrictions, no food should be taken from the premises.
A state of New Hampshire imposed food and beverage tax will be applied to all food and beverage items on your invoice, currently 8.5%
Hampshire Hills Management reserves the right to inspect and control all parties and meetings held on our premises.
The room rental includes up to five hours in the function space. If you would like to add a sixth hour an additional charge of $300 will be added. If your event will end after 10:00pm an additional charge of $200 per hour will be added.
The patron will be responsible for any damages to the building, property, equipment, decorations, and fixtures that may incur from function patrons. The use of glitter and/or throwing of rice and confetti are prohibited. A $500 extra cleaning fee will be added if the terms and conditions are not adhered to.
Hampshire Hills will be held harmless from any injury, or other damage resulting from our use of the facility or as a result of the ordinary negligence of any party.
Hampshire Hills will not be held responsible for articles lost, stolen or forgotten during the course of the function.
The New Hampshire State minimum legal age for the consumption of alcoholic beverages is 21 years of age. Hampshire Hills reserves the right to require proper proof of age as well as refuse any patrons services as they deem necessary.
This agreement constitutes the entire contract between you, the patron and Hampshire Hills Athletic Club. Any written amendment must be noted and attached to the contract. No oral modification will be valid or binding, except in the case of guaranteed guest count

Facility Rental Fee:
Our $1,000 venue fee is designed to cover the use of tables, chairs, silverware, glasses, china and other operational costs.

Please notify your Hampshire Hills sales manager of any known food allergies that require accommodation no later than 14 days prior to your event. Hampshire Hills is not responsible for issues arising from food allergies to which we are not alerted.
