DEPOSIT FEES & PROCEDURES
i. To confirm a regular booking, the organizer must sign and date the proposal document, fill out a credit card authorization form and pay the appropriate deposit amount. This ongoing deposit is carried forward and will be used towards your event total balance.
ii. If event organizers choose to end the event earlier than the arranged period of Control, there will be no refund for unused time.
iii. Payment will be invoiced with the proposal.
- Venue Buyout – if the event is a buyout, a 75% event value deposit should be paid when booked. Booking should be 45 days before event day.
- For smaller events of 20 guests or less and is not a buyout, a 50% event value deposit should be submitted at least two weeks before event day.
- Overrunning of booking is only permitted if the event management team approves. Per manager discretion, there will be an additional venue charge of $5 per minute, not including food or drink.
CANCELLATIONS POLICIES & PROCEDURES
In the event of the organizers having to cancel their event, the organizers must contact SP Hospitality Group in writing, via phone, or email before event day.
When an individual event is canceled, and future bookings remain, payments can be carried over to these future bookings; to rearranged booking at the sole discretion of SP.
Refunds will vary depending on the cancellation time frame. The following refund policy applies on the assumption full deposit payment has been received. Refunds reflect the costs incurred by SP Hospitality in booking, organizing, and preparing venues.
i. BUYOUTS REFUNDS – The organizer needs to cancel as soon as possible. Cancellation needs to be made 31 days or more before event day for a full deposit refund. Within 30 days of the event, cancellations will be charged a 50% cancellation fee deducted from the event deposit. There will be no deposit refund if the event is canceled 14 days or less from the event day.
ii. Medium Parties Refunds - 20 Guests or more, but not a buyout; the organizer needs to cancel as soon as possible. Cancellation needs to be made 15 days or more before event day for a full deposit refund. Within 14 days of the event, cancellations will be charged a 50% cancellation fee deducted from the event deposit. Cancellations will be charged a 75% cancellation fee deducted from the event deposit within seven days of the event. There will be no deposit refund if the event is canceled five days or less from the event day.
iii. Small Parties Refunds B - 19 Guests or fewer guests, but not a buyout; the organizer needs to cancel as soon as possible. Cancellation needs to be made eight days or more before event day for a full deposit refund. Within five days of the event, cancellations will be charged a 50% cancellation fee deducted from the event deposit. There will be no deposit refund if the event is canceled 48 hours or less from the event day.
