Damage Deposit: The Sawyer Hayes Community Center requires a $250.00-500.00 damage/cleaning deposit with the signing of the contract. Deposits will be refunded in full if all related facilities are left in the same condition as the start of the event in accordance with the terms of this contract. See “Facility Rules and Regulations” detailing possible reasons for retention of damage deposit. If the damage deposit does not cover all necessary deductions, the renter will be billed for the excess charges. The Park will return the deposit in part or in full within 45 days of the event date to the address listed on the contract providing all payments are made, including the catering/venue surcharge. It is the renter’s responsibility to confirm the caterer’s surcharge payment is made to the Sawyer Hayes Community Center. Sales representative must be notified of any address changes prior to the event date. The check will be made out to the individual who originally paid the deposit unless otherwise noted in writing. Cancellation and Refund Policy: If event is cancelled before rental payment is due, 50% ($250) of the Damage/Cleaning Deposit will be kept and the remaining 50% ($250) will be refunded. Rental payment is due 60 days prior to the event date. The Park will refund 50% of the Rental Fee when cancellations are made before 120 days prior to the event. Cancellations made less than 120 days prior to the event will be NOT be refunded any portion of the Rental Fee. Cancellations made less than 30 days prior to the event will NOT be refunded. Cancellation and Refund Policy: As this contract applies to property owned by the Commonwealth of Kentucky, if the non-governmental signatory/group to this agreement fails to disclose/identify/give notice to the Park of any of the following information at the time of contract, this contract shall terminate, and any deposit shall be forfeited: (1.) An event that charges a fee to the public. (2.) A for-profit event wherein commercial business is being transacted on Department of Parks property. (3.) An event that requires liability insurance; or (4.) An event that requires a damage deposit, security or a special use permit. Such events/groups include, but are not limited to clubs, fraternities, sororities, public interest or advocacy groups, concerts, running events, tradeshows, etc.

Damage deposits will be refunded in full if all related facilities are left in the same condition as the start of the event in accordance with the terms of this contract. See “Facility Rules and Regulations” detailing possible reasons for retention of damage deposit. If the damage deposit does not cover all necessary deductions, the renter will be billed for the excess charges. The Park will return the damage deposit in part or in full within 45 days of the event date to the address listed on the contract providing all payments are made including the catering/venue surcharge. Sales representative must be notified of any address changes prior to the event date. The check will be made out to the individual who originally paid the deposit unless otherwise noted in writing. Cancellation and Refund Policy: If the event is cancelled before full rental payment is due, the park shall not refund the initial deposit, which deposit is forfeited by the contracting party Full rental payment/balance is due six months prior to the event date. After this time, no refunds shall be made.
