Terms and Conditions

PRICES: All menu prices quoted are subject to GST and Gratuity. Prices are subject to change without notice. However, prices agreed to upon a signed Banquet Contract are binding. MENU SELECTIONS: Shall be submitted to the Catering Office at least thirty (30) days prior to the function to ensure availability of most selections, proper staffing, and coordination of your function. When selecting your menu, please be advised that for each meal function, the menu must be identical for all guests attending. Special dietary substitutions are available and must be arranged thirty (30) days in advance of the function. FOOD: All food must be prepared by the Executive Royal Hotel. Alberta Health and Wellness regulations require that buffet products be displayed for maximum of one and a half (1½) hours at any function to ensure the quality and integrity of the product. For health and safety reasons, no food or beverage may be removed from the premises. ALCOHOL: The Alberta Gaming and Liquor Commission govern all functions. The hotel reserves the right to refuse any sale of alcoholic beverages at any time to anyone. FINAL CONFIRMATION: A guaranteed attendance must be communicated to the Catering Office 72 hours prior to the event. If no guarantee is given, then the number of guests indicated on the function sheet will be the final confirmed number. Charges are based on the guaranteed number or the number attending, whichever is greater. FOOD PREPARATION: Will be 2% above the guarantee. ROOM ASSIGNMENT: Rooms are assigned according to the anticipated number of guests. The Executive Royal Hotel reserves the right to re-assign the function room should your final guaranteed number decrease below the minimum accepted numbers for your function room. DECORATIONS: To avoid damage to wall coverings, we do not allow the use of strong tape, tacks, or any other attachments for any posters, flyers, or written materials to walls or doors without prior consent from the hotel. All decorations must be removed by the end of the function contract. The Executive Royal Hotel is not responsible for any decorations left in the room past the time of the function contract. STARTING & ENDING TIMES of all functions are to be strictly adhered to. The space is only booked for the time indicated. Set-up and dismantle times are to be specified at the time of booking. Beverage and music service must be completed at 1:00 am. BAR COSTS & POLICIES: Banquet bars with a net revenue of less than $750 will be subject to a bartender fee of $35 per hour worked, 4 hour minimum. The convener is responsible for their guests’ conduct and safety. DEPOSITS: A deposit of $10 per person charge is required to confirm all bookings. Deposits are non-refundable but may be transferable at the discretion of the Executive Royal Hotel. PAYMENT OF PROJECTED INVOICE: All events require prepayment or established hotel credit. 100% of the projected invoice is due 72 hours in advance of the event. Outstanding balances or refunds will be settled within 14 days after the event. Only cash, certified cheque, or imprinted major credit cards will be accepted. Balance due within 30 days of receipt of invoice for clients with established credit accounts. CANCELLATION: The Executive Royal Hotel has reserved facilities and services as outlined in this contract. Should the client cancel this agreement, the client will forfeit their deposit and pay the Executive Royal Hotel as follows: ? 90 days prior to the event – 25% of the estimated charges for the function ? 30 days prior to the event – 50% of the estimated charges for the function CONVENERS PROPERTY: Storage space is limited. The hotel will not receive items prior to 24 hours in advance of the start of any function unless arrangements have been made with our Catering Office.
