Event Venue Rental Terms and Conditions
**Effective Date:** January 1, 2024 Terms
Thank you for choosing {Designed Life Venue} for your event. These Event Venue Rental Terms and Conditions ("Agreement") set forth the terms and conditions under which [Designed Life] ("Venue") agrees to rent its facilities to the undersigned party ("Client").
1. **Reservation and Deposit**
1.1 **Reservation:** A reservation is considered confirmed only upon receipt of a signed Agreement and the required deposit.
1.2 **Deposit:** A non-refundable deposit of [50% ] of the total rental fee is required to secure the reservation. The deposit will be applied to the total rental fee.
2. **Payment Terms**
2.1 **Rental Fee:** The total rental fee for the event is [$1000]. The balance of the rental fee is due no later than [60 ] days before the event date.
2.2 **Additional Charges:** Any additional charges incurred during the event (e.g., extra hours, damages) will be invoiced to the Client and are payable within [3 ] days after the event.
3. **Cancellation Policy**
3.1 **Client Cancellation:** If the Client cancels the reservation more than [60] days before the event date, the deposit will be forfeited. If the cancellation occurs within [30] days of the event date, the Client is responsible for [100]% of the total rental fee.
3.2 **Venue Cancellation:** The Venue reserves the right to cancel the reservation due to unforeseen circumstances (e.g., natural disasters, government restrictions). In such cases, the Client will receive a credit of all amounts paid and transferrable date to host their event.
4. **Event Details**
4.1 **Event Duration:** The rental period is from [Clients Start Time] to [ Clients End Time] on the event date. Additional hours may be arranged at an extra cost, subject to availability.
4.2 **Setup and Cleanup:** The Client is not responsible for all setup and cleanup activities with our Shotgun Wedding Package. Setup will begin at [2 hours prior to event start time], and cleanup will be completed by [staff members]. Additional fees may apply for early setup or late cleanup.
4.3 **Capacity:** The maximum capacity of the Venue is [50] persons. The Client agrees not to exceed this capacity.
5. **Use of Venue**
5.1 **Permitted Use:** The Venue is to be used solely for the purpose of hosting the event described in this Agreement.
5.2 **Prohibited Activities:** The Client agrees not to engage in any illegal activities or activities that could damage the Venue or disturb the surrounding area. Smoking or Vaping is NOT prohibited inside the Venue.
5.3 **Alcohol and Catering:** No alcohol is to be served outside of wine or champagne. All catering arrangements must be approved by the Venue in advance.
6. **Insurance and Liability**
6.1 **Insurance:** The Client may be required to provide a certificate of liability insurance naming the Venue as an additional insured for the event. INSURANCE NOT NECESSARY>
6.2 **Liability:** The Client is responsible for any damage to the Venue or its property during the rental period. The Venue is not liable for any injury or loss suffered by the Client, their guests, or third parties during the event.
7. **Indemnification**
The Client agrees to indemnify, defend, and hold harmless the Venue, its owners, employees, and agents from and against any and all claims, damages, losses, and expenses arising out of or in connection with the event, including, but not limited to, any personal injury or property damage.
8. **Compliance with Laws**
The Client agrees to comply with all applicable local, state, and federal laws, regulations, and ordinances in connection with the event.
9. **Miscellaneous**
9.1 **Force Majeure:** The Venue shall not be liable for any failure or delay in performing its obligations under this Agreement due to causes beyond its reasonable control, including, but not limited to, acts of God, war, terrorism, government orders, or natural disaster
