Terms and Conditions

Non-members are required to have “sponsors” when booking events. Sponsors must be current members of the club. Deposit A non-refundable deposit is required 60 days prior to the day of the event. The amount of the deposit will be the room rental charge and is considered the “booking fee” of your event. Confirmation of event is not confirmed until deposit has been received. Guest Count The final guest count is required 7 days prior to the event. Meal guarantee will be based on the number of guests you expect and give as your final guest count. In the event the guest list increases, you will be billed accordingly. Menu All menu choices can be customized and will be priced at least two weeks prior to the event or sooner if desired. We have a lot of flexibility in menu planning and working within a budget (price is usually quoted per person). For meals, assume 3-6 ounces of protein per person, and then add vegetables, appetizers, dessert, etc. Menu pricing follows a 30% food cost model. Meals delayed beyond the agreed time that the meal is to be served risks overcooking since the meal will need to be kept warm/cold for a longer period of time than expected. Our menus are seasonal and are subject to change without notice. Pricing is guaranteed for up to 60 days except when otherwise agreed. Groups of 19 or more must have a pre-selected menu or order from a limited ala carte menu. Vegetarian, Vegan and gluten-free options are available at no additional charge, however we encourage the host to let us know prior to the event the number of each special dietary need. Specialty Cakes and Items Wedding and specialty cakes may be brought in at no additional cost. Food/Beverage Minimums Events anywhere in the Club between the hours of 7am and 11am require a food/beverage minimum of $8 per person. Events between the hours of 11am and 4pm require a food/beverage minimum of $13 per person, and events between the hours of 4pm and 8pm require a food/beverage minimum of $18 per person or a room charge will be incurred based on the room your event is held in. Payment Policy Your final bill will be available at the end of the event. For larger events (100 + people) the final bill will be available one week after the event. Members may set up direct billing. Otherwise, outside groups will require a credit card to be on file. There is a 9.75% tax added on all food and non-alcoholic beverages and a 20% gratuity. Liability El Dorado Golf & Country Club will not be held responsible for personal injury or lost or stolen articles left on the premises. In signing this agreement and paying the deposit, you have access to the chosen event room 2 hours prior to the event start time for set-up purposes.
