Terms and Conditions for Use of The Gathering Spot Property Address: 28255 E 6th Pl, Catoosa, OK 74015 1. Scope of Agreement By booking or using The Gathering Spot (the “Property”), the guest or event organizer (the “User”) agrees to the terms and conditions outlined herein. Failure to adhere to these terms may result in penalties, termination of use, and/or forfeiture of any deposits. 2. Booking Policies Standard Stays ? Only booked guests listed in the reservation are permitted on the Property unless an event package is booked. ? Maximum overnight occupancy: Main House: 14 guests Bunkhouse: 6 guests (requires an additional $100 per night fee). Events ? Event packages must be pre-approved and booked separately to the propertynightly rates. ? Maximum event capacity: 50 guests. ? Event space rental fee: $350 per event. ? Event deposit: $1,000–$3,000 depending on event type and size (refundable subject to terms). ? Details required prior to event approval: Number of attendees Timing of the event Music options (e.g., DJ or live music) Alcohol service details Parking and/or shuttle service arrangements 3. Payment Terms ? All bookings must be paid in full before check-in or the event date. ? Event deposits must be received at least 14 days prior to the event. ? Accepted payment methods: [Insert Payment Methods]. 4. Cancellation and Refund Policy ? Cancellations for standard stays follow Airbnb's cancellation policy. ? Cancellations for events must be made at least 14 days in advance for a full refund of the event deposit. ? Cancellations made less than 14 days prior to the event will forfeit 50% of the event deposit. ? No refunds are issued for cancellations less than 7 days prior to the event. 5. Damage and Penalty Fees Damage Fees ? Any damage to the Property, furniture, or fixtures will be deducted from the event deposit. If damages exceed the deposit, the User will be invoiced for the remaining balance. ? A mandatory inspection will be conducted post-event to assess damages. Penalty Fees ? Smoking or Vaping Violation: $500 per incident. ? Unauthorized Pets: $500 per incident. ? Exceeding Guest Capacity: $100 per unapproved guest. ? Noise Disturbance or Complaint: $300 per incident. ? Failure to Vacate on Time: $200 per hour past check-out time. 6. Parking and Transportation ? On-site parking is limited to 10–12 vehicles. Shuttle service or valet is required for events exceeding this limit. ? Unauthorized vehicles may be towed at the User’s expense. 7. Event Space Use ? The event space (garage/barn) is a traditional structure and does not include air conditioning. ? User is responsible for coordinating setup, teardown, and cleaning of event-related decorations and equipment. ? Event end time is 10:00 PM unless otherwise approved in writing. 8. Cleaning Policy ? A standard cleaning fee applies to all bookings. ? Users are responsible for removing all personal belongings and trash from the Property by the end of their stay or event. ? Excessive cleaning requirements or trash left behind may incur an additional cleaning fee of $250. 9. Liability and Indemnification ? The Property owners and managers are not responsible for any injuries, damages, or losses incurred during the stay or event. ? The User assumes full responsibility for the conduct of all guests and attendees. ? The User agrees to indemnify and hold harmless the Property owners and managers from any claims arising from the use of the Property. 10. Prohibited Activities ? Smoking or vaping is strictly prohibited inside and outside the Property. ? Pets are not allowed. ? Illegal activities, including drug use, are prohibited on the Property. ? Fireworks and open flames (other than the fire pit) are not allowed. 11. Security Deposits ? Event deposits will be refunded within 7 business days of the event, provided no damages or violations occur. ? Deposits may be partially or fully withheld for violations of these terms, damages, or penalties as outlined above.
